WHAT IT DOESLOG

  • “Are you open on Sunday?”

→ Answered with your real hours

  • “Can I book for Saturday?”

→ Checks your calendar, books it

  • “How much is a full set?”

→ Quotes from your price list

  • Missed call at 19:40

→ Texts back with a booking link

“The same ten questions arrive every day (opening hours, prices, availability, “do you deliver?”), usually while your hands are full.”

SOUND FAMILIAR?

What is an AI chatbot for business?

An AI chatbot for business is an assistant that answers your customers’ messages in writing, on your website, WhatsApp, Instagram or Facebook Messenger. It replies in seconds, at any hour, using only the information you’ve approved: your services, prices, opening hours and policies. It can take a booking, collect the details of an enquiry, and pass anything delicate or unusual to you with the conversation so far attached.

It isn’t the old kind of chatbot that offers three buttons and gets stuck when someone types a real question. Modern assistants understand ordinary language, so customers can ask the way they’d ask you. The difference between a helpful one and a frustrating one is almost all in the setup: what it’s allowed to say, when it hands over, and how well it knows your business. That setup is the part we do.

THE JOBS IT TAKES ON

AI ASSISTANTS & CHATBOTS

  • “Are you open on Sunday?”

→ Answered with your real hours

  • “Can I book for Saturday?”

→ Checks your calendar, books it

  • “How much is a full set?”

→ Quotes from your price list

  • Missed call at 19:40

→ Texts back with a booking link

  • A tricky complaint

→ Hands over to you, with context

What an AI chatbot fixes

Most small teams don’t have a messaging problem. They have a timing problem: the questions arrive while they’re busy doing the work.

  • The same ten questions, every day

→ Answered instantly from your real hours, prices and policies, so you only see the conversations that need you.

  • Messages that arrive after closing

→ Replied to on a Sunday night, with a booking taken or a callback arranged for the morning.

  • Customers going to whoever replies first

→ A reply in seconds, not hours, while the customer is still deciding.

  • Enquiries with half the details missing

→ It asks for what you need (address, dates, photos, budget) before passing the enquiry on.

  • Messages scattered across four apps

→ Website, WhatsApp, Instagram and Facebook answered in one voice, with every conversation in one place.

  • Worry that a bot will say the wrong thing

→ It answers only from what you’ve approved and hands over when it isn’t sure, rather than guessing.

    Who uses an AI chatbot?

Any business or individual whose customers ask the same questions by message. These are the ones we hear from most.

    • Salons, barbers and beauty

Prices, availability and bookings while you’re with a client; deposit and aftercare questions answered with a link.

    • Trades and home services

Job details, photos and the customer’s address collected while you’re on a job, then a callback booked.

    • Restaurants, cafés and takeaways

Opening hours, menus, allergens and table bookings, without stopping service to reply.

    • Clinics, therapists and trainers

New client enquiries and bookings handled, without the assistant ever giving medical advice.

    • Shops and online stores

“Where’s my order?”, sizes, stock and returns answered from your own policies.

    • Coaches, consultants and freelancers

Enquiries qualified and discovery calls booked into your calendar, so your inbox stops being a second job.

    • Letting agents and property managers

Viewing requests, maintenance reports and out-of-hours messages logged with the details you need.

    A GOOD FIT IF…

    • You answer the same questions over and over
    • Enquiries come in when you can’t pick up
    • You lose bookings to whoever replies first
    • You want a human to step in for anything delicate

    What we build for you

    • An assistant that knows your business

Trained on your services, prices, hours, policies and the answers you already give. Written with you, in your words, not from a generic template.

    • On the channels your customers use

Your website, WhatsApp, Instagram and Facebook Messenger. Start with one and add the others when you’re ready.

    • Bookings and enquiries captured

Connected to your calendar or booking system where it allows it. Otherwise it collects the details and sends them to you or your CRM.

    • Clear handover to a person

Complaints, refunds, anything sensitive and anything it’s unsure about go to you by email, text or your inbox, with the conversation attached.

    • Privacy set up properly

It says it’s an AI assistant, links to your privacy notice, collects only what the job needs and never asks for card numbers in chat.

    • Tested, then looked after

We try to break it before your customers do, then read conversations with you in the first weeks and keep improving the answers.

How we set up your chatbot

Four steps, in this order. You approve every answer before a customer sees it.

    1. ORDER 001START

      1×We learn your business

A 30-minute call and whatever you already have: price lists, FAQs, policies, past messages. We note the questions you’re asked most, and the ones you’d rather keep for yourself.

    2. ORDER 002BUILD

      1×We build and train it

We write its answers in your voice, set it up on the channels you chose and connect your calendar or booking system where it allows it.

    3. ORDER 003CHECK

      1×You test it

You and your team try to trip it up. We tune its answers and handover rules until it sounds like you on a good day.

    4. ORDER 004GO LIVE

1×It goes live, we keep watch

We read real conversations with you in the first weeks, fill the gaps and add answers as your business changes.

Works with the tools you already use

We connect to what you have rather than asking you to switch. These are the kinds of tools we usually work with. Tell us yours and we’ll confirm before you commit.

Whether a booking system can be connected depends on the system, not on us. If yours can’t, the assistant collects the details and sends them to you instead.

How much does an AI chatbot cost?

Two separate costs, and it helps to keep them apart: setting it up properly, which we quote once, and running it, which you pay to the platforms directly so you can always see it.

    WHAT AFFECTS THE PRICE

    • How many channels

Website chat alone is simpler than website, WhatsApp, Instagram and Facebook together.

    • What it connects to

Answering questions needs no connections. Booking into a calendar, checking stock or logging leads in a CRM each add setup work.

    • How much it needs to know

A one-page price list is quick. Hundreds of products, several locations or detailed policies take longer to write and test.

    • Languages

Each language it answers in needs its own testing.

    • Ongoing care

Optional: a monthly look at conversations, new answers and small changes.

    FROM THE PROVIDERS THEMSELVES

    • On the WhatsApp Business Platform, Meta charges per delivered template message. Free-form replies you send inside the 24-hour customer service window, which opens when a customer messages you, are free. Rates depend on the message category and the customer’s country. AI chatbot questions

Something else? Ask in the chat. A person answers.

How much does an AI chatbot for business cost?

There are two parts. Setting it up properly (writing the answers, connecting your calendar or booking system, handover rules and testing) is a one-off job that we quote in writing, in your currency, before any work starts. Running costs are paid to the platforms directly and depend on your channels and how many conversations you have. On WhatsApp, for example, Meta charges per template message, and free-form replies inside the 24-hour customer service window are free.

Which AI chatbot is best for a small business?

The one that fits the channels your customers already use and the tools you already have. A salon taking bookings on Instagram needs something different from a shop answering order questions on its website. We choose the platform for your situation, including a simple off-the-shelf tool if that’s all you need.

Is ChatGPT the same as an AI chatbot for my business?

They use the same kind of technology but do different jobs. ChatGPT answers general questions from what it learned in training. A business chatbot is set up to answer only from your information, on your channels, and to hand over to you. Using a general chatbot on its own for customer service risks answers that sound confident but aren’t true for your business.

Can I set up a chatbot on WhatsApp Business?

Yes. Automated assistants on WhatsApp run through Meta’s WhatsApp Business Platform rather than the free WhatsApp Business app on your phone. We set it up in your business’s name and explain what changes for your existing number before anything moves.

Is there a free AI chatbot for business?

Many chatbot tools have free plans or trials. Free versions usually limit how many conversations you get, what they connect to, or how much control you have over what they say. They’re a fine way to try the idea. The setup work is what makes one reliable enough to speak for your business.

    Will customers know it’s AI?

We recommend it says so up front. Customers mostly care that they get a quick, correct answer, and that a person is a message away.

What if it gets something wrong?

It only answers from the information you give it, and it’s set up to hand over to you when it isn’t sure rather than guess. You can read every conversation, and we tighten its answers with you in the first weeks.

Does it work with my booking system?

Many booking and calendar tools can be connected, including Google Calendar and Microsoft Outlook. Tell us which one you use in the quote form and we’ll confirm before you commit. If yours can’t be connected, the assistant collects the details and sends them to you instead.

Can it answer in more than one language?

Yes. Modern assistants can reply in the language the customer writes in. We test each language you want to offer before launch, and it hands over to you whenever it isn’t sure.

Is it safe for my customers’ data?

It can be, when it’s set up with care. We make it say it’s an AI assistant, link to your privacy notice, collect only what the job needs, use providers whose data terms you can sign, and never ask for card details in chat. Under the UK and EU GDPR, and similar laws elsewhere, being clear about how you use people’s information is the starting point.
