WHAT IT DOESLOG

  • New enquiry email

→ Details pulled into your sheet

  • Quote request

→ Draft quote ready for your OK

  • Invoice 14 days overdue

    → Polite reminder sent

  • Job marked done

→ Review request sent to customer

“The work is done, but the paperwork isn’t. Evenings go on copying details between emails, spreadsheets and invoices.”

SOUND FAMILIAR?

What is business process automation?

Business process automation means letting software do the repetitive steps of your admin: moving details from an email into a spreadsheet, sending a quote, chasing an unpaid invoice, asking a happy customer for a review. AI automation adds the steps that used to need a person to read something: pulling job details out of a messy enquiry, drafting a reply, spotting what’s urgent. You keep the decisions. The copying, chasing and reminding happens on its own.

An AI automation agency like Tamkoz works out which of your jobs are worth automating, builds the automations on tools you own, and looks after them. We start small, with the one or two jobs that save the most time, and anything that goes to a customer can wait for your approval until you trust it.

Admin that automation takes off your plate

If a job happens every week, follows the same steps and lives in your apps, it can probably run without you.

  • Copying details between email, spreadsheets and invoices

→ Enquiry details land in your sheet or CRM the moment they arrive.

  • Quotes that take an evening

→ A draft quote built from the enquiry and your price list, ready for your OK in minutes.

  • Unpaid invoices nobody chases

→ Polite reminders on the schedule you choose, stopped the moment it’s paid.

  • Follow-ups that slip

→ A nudge to the customer, and to you, when a quote hasn’t been answered.

  • Reviews you never get round to asking for

→ A review request sent when a job is marked done.

  • No idea how the week went

→ A Friday summary in your inbox: new enquiries, quotes out, money owed.

SAMPLE WORKFLOW · A LOCAL PLUMBER

Who needs business process automation?

Small teams, sole traders and individuals who spend their evenings on admin. The work changes by trade; the pattern doesn’t.

  • Trades and contractors

Enquiry to quote to invoice to review request, without retyping the customer’s details four times.

  • Accountants and bookkeepers

Client documents chased, receipts filed into the right folders and reminders sent before deadlines.

  • Agencies, consultants and freelancers

New client onboarding, contracts, invoices and weekly reports produced from one form.

  • Shops and online sellers

Orders, stock alerts, supplier emails and customer updates kept in step.

  • Clinics and salons

Appointment reminders, intake forms and no-show follow-ups sent on time.

  • Letting agents

Maintenance requests logged, the right contractor told and the tenant kept updated.

  • Individuals and side businesses

Bookings, invoices and paperwork for a small operation, without hiring help.

A GOOD FIT IF…

  • You copy the same details between apps
  • Follow-ups slip because nobody has time
  • Quotes take an evening instead of minutes
  • You want to approve things, not type them

What we build

  • A map of your week

A short written list of the jobs that repeat, how long each takes, and which are worth automating first.

  • Automations that run on their own

Built on established tools such as Zapier, Make or n8n, connecting the apps you already pay for.

  • AI where it earns its place

Reading enquiries, drafting replies and quotes, sorting what’s urgent. Used only where it saves real time.

  • Approval steps you control

Anything going to a customer can wait for your OK. Switch approvals off job by job as you gain trust.

  • Alerts when something fails

If a step breaks, you and we hear about it, so nothing quietly stops.

  • A plain-English guide

What runs, when, and how to switch each one off. Everything set up in your name.

How much does AI automation cost?

Setup is a one-off job we quote in writing. The automation platform is a monthly subscription you pay directly, and for many small businesses a free or entry plan is enough to start.

WHAT AFFECTS THE PRICE

  • How many jobs

One automation is a small project. A chain from enquiry to invoice is a bigger one.

  • How many apps

Each app in the chain needs connecting and testing.

  • How much AI is involved

Moving data is simple. Reading messy emails or drafting quotes needs more careful testing.

  • Approval steps

Adding a human check is quick, and we recommend it to start.

  • Volume

More runs a month can mean a higher platform plan.

FROM THE PROVIDERS THEMSELVES

  • Zapier’s free plan includes 100 tasks a month. Paid plans are priced by how many tasks you run. Source: Zapier.
  • Make’s free plan includes up to 1,000 credits a month, with each step in an automation using a credit. Paid plans are priced by credits. Source: Make.

How long does it take?

Your first automation can often be running within a few weeks. Bigger chains go live in stages, so you get time back before the whole thing is finished.

Waiting for logins and access is the most common delay, so we send a short list of what we need on day one.

AI automation questions

Something else? Ask in the chat. A person answers.

What does an AI automation agency do?

It finds the repetitive jobs in your business, builds software automations to do them and looks after those automations afterwards. A good one also tells you which jobs aren’t worth automating. We work with businesses and individuals, in plain English, on tools set up in your name.

What is an example of business process automation?

A customer fills in your website form. The details go into your spreadsheet, a draft quote is made from your price list, you approve it with one click, it’s emailed to the customer, and if they haven’t replied in five days they get a polite follow-up. Nobody retypes anything.

Is RPA better than AI?

They do different jobs. RPA (robotic process automation) repeats fixed steps exactly, like a macro clicking through screens. AI handles steps that need reading or judgement, like working out what an email is asking for. Most small-business automations are simple connections between apps, with AI added only for the steps that need it.

Do I need to change my software?

Usually not. We work with the email, spreadsheets, accounting and booking tools you already pay for wherever they allow it.

Which automation tool is best: Zapier, Make or n8n?

It depends on your apps, your volume and who will look after it. Zapier is the easiest to understand and connects to a very wide range of apps. Make is often cheaper as volumes grow. n8n can be run on your own server, which suits businesses that want more control over their data. We recommend one for your situation and explain why.

What happens if something breaks?

Automations are set up to alert us and you when a step fails, so nothing quietly stops.

Is it safe to let AI send things to my customers?

Only when you’re ready. We start with an approval step on anything customer-facing, so you see each message before it goes. Once you trust a job, you can switch the approval off for that job alone.

Who owns it?

You do. The accounts and automations are set up in your name, so you can take them elsewhere at any time.

Can I automate my business with AI myself?

You can, and free plans make it easy to try. Where people get stuck is choosing what to automate, handling the cases that don’t fit, and keeping it running when an app changes. Our article on which tasks to automate first explains a scoring method you can use either way.

How much time will it save?

It depends on how often the job happens and how long it takes now, which is why we time your real week before recommending anything. We’d rather tell you a job isn’t worth automating than build something that saves ten minutes a month.
